Volunteer Role: Match Day Programme Coordinator
Club: Aylesbury Rugby Football Club
Location: From home with the occasional meeting at the Club
Commitment: A few hours ahead of each of the 14 home games per season
Reports to: The Director of Rugby

Aylesbury Rugby Football Club is more than just rugby — we’re a community. Every home game, our match day programme is a big part of the experience: keeping supporters up to date, celebrating our players, and giving a nod to our brilliant sponsors who help keep the club running. We have great plans, working with Mediaport, to significantly develop the match day programme.
We’re looking for someone to take on the role of Match Day Programme Coordinator — the person who pulls it all together and makes sure it lands in fans’ hands on match day.
What You’ll Do
- Collect match day contributions from:
- The Chairman Club update
- Men’s and women’s skippers match previews
- Other regular columnists such as the youth section and club historian
- Team sheets – home and away
- Others you choose
- Select photos, fun features and updates from around the club.
- Work with our Sponsor Coordinator and make sure our sponsors get a good shout-out.
- Proofread and edit content to maintain quality and accuracy.
- Keep things fresh — from player profiles to bits of rugby trivia.
- Make sure the content gets to Mediaport, the programme designers and printers, on time and is ready for each home game.
What We’re Looking For
- Someone who enjoys leading the coordination and gathering of material for our matchday programme.
- Organised to meet deadlines, but creative enough to have fun with content submissions.
- Happy to chat with players, coaches, and supporters to gather content.
- No professional experience needed — just enthusiasm and a willingness to learn.

Are you aged 16–25, love rugby, and passionate about creating content that gets seen? We’re looking for a Match Day Videographer / Social Media Assistant to join our media team.
With our socials reaching tens of thousands of views every week – across Facebook, Instagram, TikTok, X, LinkedIn, and YouTube – this is a brilliant chance to develop your skills, grow your portfolio, and be part of the action.
What you’ll do:
🎥 Capture match-day video content on Saturdays or Sundays – highlights, reactions, crowd energy, and behind-the-scenes clips
📲 Work with our photographer and media team to produce content for TikTok, Instagram Reels, YouTube Shorts, and match-day posts
✨ Help us continue to grow engagement – our content already connects with a huge online audience!
What we’re looking for:
- Someone aged 16–25 with a creative eye for video
- Confident filming on a phone or camera (own kit is a bonus, but not essential)
- Available on Saturdays or Sundays for match coverage

In essence it is all about helping people and businesses become, and remain, sponsors of our club. This is a vital volunteer position where you can make a significant contribution to the financial health of our Club.

- Be the ‘go to’ person for all sponsors
- Build and maintain great relationships with existing and potential sponsors making them feel valued.
- Maintain regular communications with all sponsors; updating them with the latest developments at the Club, helping them access all elements of their packages and letting them know about new opportunities to support the Club.

- Process incoming qualified sponsorship enquiries.
- Explore new ways to refresh and enhance sponsor value and engagement.

Safeguarding Assistant
We’re looking for someone to support our Safeguarding Officer with crucial administrative tasks to ensure we maintain a safe environment for everyone and comply with RFU safeguarding regulations. We have people in place to support as the new candidate learns the role.
What will you be doing?
- Maintain online records for all volunteers.
- Regularly check who is volunteering, ensuring they have an up-to-date RFU DBS and track renewal dates.
- Send reminders before DBSs expire and process renewals, ensuring original documents meet the required criteria.
- Ensure volunteers are correctly listed in the RFU system (GMS) and assigned to the appropriate teams.
- Assist new volunteers in quickly obtaining their DBS, guiding them through necessary courses and documentation.
- Update records and systems when volunteers transition out.
- Stay updated on any changes in RFU Safeguarding requirements.
- Coordinate with our Youth Chairman, Safeguarding Officer, and Team Managers to ensure all volunteers are DBS-checked, holding others accountable to meet safeguarding standards.
- Assist with other safeguarding-related tasks as needed.
This volunteer role is a great fit if you:
- Have strong administrative skills.
- Enjoy using online systems and are comfortable learning new technology.
- Can spare a couple of hours each week (a bit more at the start of the season in September).
- Have your own laptop and are comfortable using it for this role.
- Are detail-oriented and enjoy following processes.
- Are tenacious and willing to follow up with others, emphasizing the importance of safeguarding.
- Have some understanding of safeguarding (helpful but not essential).
